The fleet dashboard groups every bus by status with its driver, seat count, last GPS fix, current speed and a live compliance badge. Trips today is the day’s run sheet, live GPS track and the full GPS event log show where each bus has been — every point carries a Google Maps link — and the notifications outbox holds every parent message with its state, recipients and any delivery error.
A transport assignment ties a student to a route, a pickup point and an academic year — and the app refuses to double-book a student inside one academic year, or to seat a child at a stop that is not on their route. The route form carries a live seat-utilisation figure against the bus’s capacity, so an over-loaded run is visible before the term starts. Bulk assign seats a whole list in one pass and skips anyone already assigned. Route attendance and the trip log keep each run’s headcount, odometer and fuel — who actually got on and off lives in the boarding log below; staff commuters carry their own subscription for university and staff shuttles.
Build a route with its code, direction, distance, service pattern and monthly fee, then hang pickup points off it with coordinates, a landmark parents will recognise, AM pickup and PM drop-off times and an optional per-stop fee surcharge. Route schedules give each stop a scheduled arrival and departure per weekday and direction, and campuses let a multi-site school mark which sites are dispatch hubs.
Every boarding event records who got on or off, at which stop, by RFID, NFC, QR, barcode or a manual tap — and queues the parent message itself. The end-of-route sweep is one per trip, and the app holds it to that; a check every fifteen minutes finds any trip that finished more than half an hour ago with no sweep and raises a high-severity incident naming the bus, the route and the driver. Pre and post-trip inspections ship with thirteen checklist items, per-item photos and a signature, and submitting one with any item failed or flagged opens a corrective Maintenance request against that bus automatically.
Draw a geofence as a polygon — school, stop, no-go zone, city limit — and every incoming position is checked against it, recording when a bus enters or leaves and optionally queueing a message for every student assigned to that bus’s route. The tracking feed takes single positions or batches, checks each bus by its own replaceable key, handles up to ten positions a second, ignores duplicates and rejects impossible coordinates. Every bus you add creates its own Fleet record and Maintenance equipment, then pushes plate, driver, seats, year, odometer and archive state onto it on every save — while Fleet’s own lifecycle state and tags stay editable straight from the bus form. Fuel logs compute unit cost, kilometres since the last fill and km per litre, and maintenance logs carry the parts used and the next service due — both mirror into the native Fleet service log and both raise a vendor bill, or a purchase order for the parts, in one click. Spare parts become real inventory products, with serial tracking on tyres and batteries.
Insurance, road-worthiness, PSV licence, driver licence, tracking and speed-governor certificates live as dated compliance documents with the scanned file attached, and a daily check posts a warning on every document inside thirty days of expiry while a second one emails the transport managers the list of buses at risk. The Kenya NTSA pack holds PSV, speed governor, seat belt, SACCO sticker, TIMS and road-worthiness on one card and grades each bus at ninety, sixty and thirty days out. Bulk upload loads a whole yard from one CSV keyed on plate, and the driver performance rollup refreshes each driver’s monthly trip count and average km per litre every week.
