The sick bay, from walk-in to sign-out

Every walk-in opens a numbered clinic visit (CV/00001) carrying blood pressure, temperature, pulse and weight, the presenting complaint, the diagnosis, the nurse who saw them and one of six actions taken — observed in the sick bay, medication given, rest and released, parent pickup, returned to class or referred to hospital. Today’s Visits and Sick Bay (Open) land pre-filtered, and the full visit history groups by class, by nurse or by action taken.

Immunisation records that chase their own due dates

Log every dose with vaccine, dose number, date given, batch number and the administering staff member, with the certificate scan attached to the record itself. Set the next due date and a daily check posts the reminder in that record’s history exactly fourteen days ahead; the Vaccination Compliance PDF prints student, vaccine, dose, date given and next due for whatever you have selected in the register.

An illness register that spots the outbreak for you

Record the illness, diagnosed date and recovery date, whether it is contagious and whether isolation is required and until when — the register colours contagious amber and isolation red, and each row flips itself from Active to Recovered the moment a recovery date lands. Separately, every new visit checks itself as it is created: when four earlier visits inside seven days match its diagnosis — five with this one — an outbreak alert naming the count and the diagnosis is posted into the visit’s history.

Injuries logged to the standard an insurer will ask for

Date and time, the body part from eight, severity minor / moderate / severe, the cause, the first aid given, and the hospital referral with the receiving hospital named. Notify Parent stamps the exact time on the record and writes it into the audit trail, and the Injury Report PDF prints the log for the board or the insurer.

05

Consent on file, with an expiry date on it

Seven consent types — medical treatment, medication administration, vaccination, photo and media use, field trip, counselling and other — each tied to the consenting parent or guardian, with the signed document attached and an expiry date. Saving a consent grades it Valid or Expired against that date, and the register carries the badge and paints expired rows red, so a lapsed medical-treatment form is visible before anyone acts on it.

    • NHIF / SHIF and insurance claims, from the visit itselfEach visit carries the insurance scheme — NHIF / SHIF, a private insurer, school cover or plain cash — the member number and the visit cost. Anything with a scheme and a cost is computed claimable, picks up a generated claim reference when you submit it, and moves through Submitted, Paid or Rejected from buttons in the header — every scheme and claim-state change tracked in the visit’s own history.
    • Medication that cannot be given without consentA standing medication order holds the drug, dose, route, one of six frequencies (including PRN), the scheduled times, the prescriber and the indication — and Record Dose Given refuses to fire until parental consent is ticked, raising an error instead. Each dose lands in the administration log as Given, Missed, Refused, Held (clinical) or Self-administered, with who gave it and when, and the order carries a running dose count and a last-given stamp. One-off doses handed out during a sick-bay visit are logged separately on the visit itself — drug, dose, route, who gave it and when — each line optionally pointed at an Inventory product you have flagged as a clinic drug.
    • The allergy plan that gets printed and pinned upOne allergy / emergency action plan per child: the allergen, its type, severity up to anaphylaxis risk, the symptoms, the rescue medication and exactly where it is kept, the emergency contact and the written emergency response steps. It prints as a one-page PDF bordered red for the severe and anaphylaxis plans (amber below that), and the register itself paints those rows red. Mark Reviewed stamps today and sets the next review a year out.
