01

Donor Registration & Records

Register blood donors with full demographics, contact details, national ID, address and clinical notes in a dedicated donor record.

Auto donor card numberingEvery donor gets a unique auto-generated donor card number (DNR/year/000001) enforced unique at database level.
Donor type classificationClassify donors as voluntary, family/replacement or autologous to match transfusion-service donor policies.
Blood group & Rhesus captureRecord ABO blood group with Rhesus factor auto-derived from the group selection.
Automatic age computation & eligibility guardAge is computed from date of birth and a constraint blocks non-autologous donors outside the 18-65 year range.
Deferral status trackingFlag donors as eligible, temporarily deferred or permanently deferred with reason and 'deferred until' date.
02

Donation Collection

Capture each blood collection event with unique auto-numbered bag ID linked to donor and session.

Pre-donation vitals captureRecord blood pressure, hemoglobin, weight, pulse and temperature before collection.
Hemoglobin minimum enforcementCompletion is blocked when hemoglobin falls below 12.5 g/dL for men or 12.0 for women.
Pre-screening pass gateA donation cannot be completed until pre-screening is explicitly marked as passed.
Multiple donation typesSupport whole blood, plasma apheresis, platelet apheresis and double-red-cell collections.
Bag & anticoagulant selectionChoose bag configuration (single/double/triple/quad) and anticoagulant (CPD, CPDA-1, SAGM) per collection.
03

TTI Screening & Release

Screen every donation for HIV, HBV (HBsAg), HCV, syphilis and malaria with per-marker results.

Per-test methodology captureRecord the test method (rapid, ELISA, CMIA/CLIA, NAT) used for each infection marker.
ABO/Rh confirmationConfirm ABO grouping and Rhesus typing with confirmed/discrepant results.
Automatic releasability calculationSystem computes 'all negative' and 'releasable' flags, requiring all TTI negative plus confirmed ABO/Rh.
Unique lab reference numberingEach screening gets an auto-generated unique lab reference and is limited to one per donation.
Mark-passed auto-releases stockPassing screening moves all quarantined units from that donation to available inventory automatically.
04

Blood Product Inventory

Every blood product unit is tracked separately with a unique auto-generated unit code.

Six product typesManage whole blood, packed red cells, leukoreduced red cells, fresh frozen plasma, platelets and cryoprecipitate.
Type-specific expiry computationExpiry date is auto-calculated from product type and anticoagulant (e.g. 35 days CPDA-1, 5 days platelets, 365 days plasma).
Days-to-expiry indicatorLive countdown of days remaining before each unit expires.
Storage temperature guidanceEach unit displays its required storage temperature range based on product type.
Storage location trackingRecord the physical fridge/freezer location of each unit.
05

Clinical Request Workflow

Clinicians raise blood requests for a patient with auto-numbered reference and requesting doctor defaulted to the current user's staff record.

Urgency levelsClassify requests as routine, urgent, STAT or MCI/emergency.
ICD-10 indicationAttach a clinical indication text and ICD-10 diagnosis code to justify the transfusion.
Patient blood profileRecord known patient blood group, Rh, current Hb and target Hb on the request.
Special product requirementsFlag needs for irradiated, leukoreduced, washed or CMV-negative products and antibody screening.
Request state machineRequests progress through draft, sent, crossmatching, crossmatched, issued, transfused and canceled states, some auto-advanced downstream.
06

Crossmatch & Compatibility

Create compatibility tests linking a request and patient to candidate donor units.

Per-unit compatibility resultsRecord a compatibility line per candidate unit (compatible, major/minor incompatibility, weak positive).
ABO/Rh & antibody screen captureLog overall ABO and Rh compatibility plus antibody screen result on the crossmatch.
Crossmatch methodologyRecord the technique used: saline/immediate spin, indirect antiglobulin, gel card or solid phase.
Tested-by / verified-by dual sign-offCapture both the technologist who tested and the staff who verified the crossmatch.
72-hour validity windowValid-until is auto-computed as 72 hours from the crossmatch time per transfusion standards.
07

Issue, Transfusion & Cold-Chain

Issue reserved units against a crossmatch with auto-numbered reference, capturing collector and issuer.

Cold-chain temperature gateIssuing blocks with a cold-chain-breach error if pickup temperature reaches or exceeds 10 C.
4-hour return-due timerReturn-due time is auto-set to 4 hours after issue for unused-unit return control.
Return & expired-in-use handlingReturn an unused unit back to available, or mark it expired-in-use to discard it.
Transfusion recordsDocument bedside administration of an issued unit to a patient with auto-numbered reference.
Two-nurse sign-offCapture both the administering nurse and a witness nurse for bedside safety checks.
08

Haemovigilance & Reactions

Log adverse transfusion reactions with auto-numbered reference linked to transfusion, patient and unit.

Severity gradingGrade reactions mild through moderate, severe, life-threatening or fatal.
Reaction categorizationClassify by category (FNHTR, allergic/anaphylactic, acute/delayed hemolytic, TACO, TRALI, bacterial, GVHD etc.).
Clinical documentation fieldsRecord symptoms, vital-sign changes, action taken and whether the transfusion was stopped.
Investigation workflowTrack lab sample return, repeat ABO confirmation and reviewer with open/investigating/closed states.
Root-cause & prevention analysisCapture rich-text root cause analysis and prevention recommendations plus a causality classification.
